Position Profile

We are currently looking for an Executive Assistant to join our team in Montreal.

Primary Responsibilities:

  • Provide personal, administrative and operational support to the Partner
  • Manage emails, voicemails, and written correspondence in a timely manner
  • Effectively organize and maintain the personal and business schedule of the Partner (managing scheduling conflicts, sending invitations, organizing meetings, confirming all appointments, etc.)
  • Facilitate and coordinate the preparation and finalization of proposals and presentations
  • Prepare, reconcile, and submit expense reports
  • Communicate with both federal and provincial governments
  • Communicate with clients
  • Provide support during meetings (note taking, tracking follow ups, restaurant reservations, catering orders, etc.)
  • Participate in the organization of professional and social events (on occasion) both internally and externally (team building activities, holiday party, etc.)
  • Coordinate travel arrangements
  • All other tasks required by the Partner

What you need to succeed:

  • 3-5 years of relevant administrative experience
  • Knowledge of accounting, an asset
  • Superior organizational and time management skills
  • Sound judgment, ability to prioritize and make decisions
  • Discretion while managing highly confidential information
  • Ability to anticipate needs and take action proactively
  • Resourcefulness, can-do attitude
  • Ability to thrive in a fast-paced environment
  • Excellent interpersonal skills
  • Excellent oral and written communication skills, in English and French
  • Proficient use of Microsoft Teams & Office (Word, Excel, Outlook and PowerPoint)
